DEESIGNZ WEB & GRAPHICS STUDIO POLICIES AND PROCEDURES 2008

All requests for design work should be made by phone, email or via our website www.deesignz.com.

DEPOSIT AND CANCELLATION POLICY
A 50% deposit is required to secure design services. The balance is due upon notification of project completion. When balance has been fulfilled work will be presented to client. Work product will not be released to any client without full payment unless other payment arrangements have been made and agreed upon prior to start of project. Cancellation with a full refund up to 48 hours after signed proposal /contract.

FEES
All fees are outlined in proposals. It’s our goal to provide “cost effective” design solutions. We bundle services and provide packaged design service offerings with built in discounts as a saving to our clients. We will discuss pricing from a budgetary standpoint (ie. We will work with clients to design custom solutions to fit within their budgets). As an established business we work to satisfy our clients needs as well as benefit the needs of the business.

OPEN ACCOUNTS
Established clients with open accounts will need to have a current credit card on file unless previous arrangements have been discussed with Deesignz. This will avoid having any unpaid balances. Unpaid balances will cause delays or interrupt services all together.

CONSULTATIONS
The initial contact is to ascertain the needs of the client’s project (approx. 15 minutes). A one hour face-to-face or phone consultation is included as an initial part of every design project process, which will be scheduled after initial contact. You may also substitute the one-hour call or meeting for one hour worth of email consultation. The consultation serves as a platform to discuss the project particulars, determine color schemes, etc. This stage of the process is ideal for submitting logos, artwork, photos, or other media that will assist with the design process. Your initial consultation is at no charge. Additional phone consultations may incur additional costs at the discretion of Deesignz.

PHONE CALLS
Each and every client is important to Deesignz. Any conversations that require more than 15 minutes will require prior scheduling. Phone consults are scheduled on Mondays and Thursdays. If you need questions answered please contact our administrator who will be happy to assist you. You may also send an email and we will respond at our earliest time. We value our clients and to provide the best service, we need client participation and cooperation in order to manage time properly so that all projects can be completed with quality and in a timely fashion.

EMAIL COMMUNICATIONS
We work to offer the best service. For the fastest response, the best way to contact Deesignz is via email. PLEASE compile all your questions in as few emails as possible and they will be addressed during business hours. Excessive emails slow the production schedule. By compiling your requests in as few emails as possible it allows the design process to work smoothly and not be broken with several emails that require additional administrative efforts.

WEBSITE CLIENTS
Website clients that have monthly, bi-monthly or quarterly updates need to submit them at least 5 business days prior to post date. Clients who “do not” have an ongoing maintenance agreement need to submit them at least 7 –10 business days prior to post as they will fall under the same guidelines as a new project.

BUSINESS HOURS
Deesignz business hours are as follows:
Monday, Tuesday and Thursday: 10 a.m – 7 p.m
Wednesday | Fridays: CLOSED TO THE PUBLIC for production.
Saturday & Sunday: CLOSED

Phone calls that are received after hours will be directed to voice mail and will be responded to within 48 hours. Emails received after business hours will be addressed the next business day.

PROJECT SCOPE
The project scope is outlined in the proposal in detail. The quoted fees are directly related to the outlined scope of the project. Any changes, additions, modifications to the project will affect cost. Any changes that have been discussed and agreed upon should be added to the original proposal that will reflect the new changes. This avoids any misunderstandings.

ARTWORK
Artwork will be provided via the client. Use of stock photography will incur additional cost to be absorbed by the client. All artwork must be client owned artwork or “purchased” artwork. Deesignz will not use unauthorized artwork as it will jeopardize the client as well as our business.

TIME ESTIMATE
Design Component: A draft design will be supplied to the client in 10-15 business days for proof and approval. Bear in mind that design is a process that relies on the creative component. This component will be adjusted accordingly for projects considered a “rush”.

Revisions: 2 sets of revisions/modifications are included as a part of the design package. Additional costs will be incurred for additional revisions.

Approval: Once the design has been approved, the client will sign off on the final proof. Any additional requests for modifications to the design will incur an hourly design rate to be agreed upon between client and Deesignz. All projects undergo the process outlined below:

– Initial consultation
– Schedule 1 hour consultation
– Proposal is drawn up
– Details are ironed out and agreed upon
– Deposit is received with signed agreement
– Project is placed into production schedule, please note that there may be slight variations to scheduling due to factors that affect production. i.e., not receiving all necessary materials, constant additions or subtractions being made to the scope of the project, excessive revisions, to name a few.
– Client is contacted with production schedule
– Draft or comps are presented to the client
– Client submits changes/modifications
– Revisions are made and resubmitted for approval
– Client submits additional changes/modifications, if needed
– Revisions are made and resubmitted for approval
– Client approves final draft
– Project is completed, client contacted to make final payment; final payment received (funds are cleared)
– Final project delivered to client

RUSH JOBS
Deesignz will impose a rush fee for projects with deadlines of 5 business days or less. The time estimate will be adjusted to the timeframe associated with the rush project. In the case of a rush job all pertinent information should be given at the time of job request in its final state. This allows the job to be done in a rushed time frame. All fees attached to a rush job must be paid in full before the project is released unless previous arrangements have been made with Deesignz. Fees for rush jobs cover the administrative and production costs incurred for the in interruption of the production schedule.

PROPRIETARY
Unless a work for hire contract or agreement is in place, proposals/contracts are for press or web ready digital files. Deesignz retains ownership of all tools, methodologies and intellectual capital utilized during the fulfillment of this design request. Source documents may be provided at an additional cost and the desire of such must be communicated prior to the onset of the project.
